Office Management at PwC Middle East ensures our offices operate seamlessly and deliver an exceptional experience for both our people and clients. This function manages facilities, workplace services, and day-to-day operational support across the region—creating environments that foster collaboration, productivity, and well-being. How You’ll Contribute
As a Travel Approvals - Associate , you’ll work as part of a team of problem solvers, helping to solve complex business issues from strategy to execution.
responsible for handling day-to-day flight approvals, online booking tool (KDS Neo) support, visa coordination, ground transport arrangements, and traveller support queries.
Ensures compliance with PwC travel policies, supports cost-effective decision-making, and provides first-line assistance to travellers and Executive Assistants (EAs). The role contributes to PwC’s commitment to Trusted Leadership and Distinctive Outcomes by ensuring smooth, compliant, and efficient business travel experiences.
Responsibilities include but are not limited to:
Customer / Stakeholder:
- Process day-to-day flight approvals, out-of-policy bookings, and multi-leg travel requests.
- Provide first-level traveller support, handling queries professionally and escalating complex requests to the team lead/manager.
- Deliver training and guidance on the use of PwC’s Online Booking Tool (KDS Neo) to staff and EAs.
- Liaise with external vendors (travel agency, airlines, visa providers) to resolve issues and maintain service levels.
Financial / Compliance:
- Monitor and ensure compliance with PwC’s travel policy across bookings.
- Escalate cases of non-compliance for proper approval before ticket issuance.
- Support accurate cost allocations by validating job codes and chargeable/non-chargeable coding.
- Contribute to cost savings through fare comparison, identifying lowest logical fares, and tracking variances.
Internal Process:
- Review flight bookings in KDS to ensure alignment with policy and PwC negotiated fares.
- Monitor and support the Business Resilience travel approval process.
- Support visa coordination by providing travellers with guidance on rules and processes (mainly Middle East countries).
- Ensure efficient collaboration with Hotel Booking and Travel Onboarding teams where travel overlaps
Learning & Growth

- Continuously upskill on PwC travel systems (KDS, Compleat, Coupa) and contribute to process improvement ideas.
- Act as a trusted point of contact within the Travel Operations team, fostering a collaborative and client-focused culture.
What You’ll Bring
- Education: Bachelor’s degree preferred.
- Experience: 2+ years in travel management, TMC, or corporate travel operations.
- Languages: Fluency in English required; Arabic is an advantage.
Technical Skills:
- Familiarity with online booking tools (KDS Neo preferred).
- Strong MS Excel and reporting skills.
- Knowledge of visa/immigration processes is an advantage.
Soft Skills:
- Strong customer service orientation.
- Detail-oriented, organised, and proactive.
- Strong communication and problem-solving skills.
- Ability to work under pressure and adapt to peak travel seasons.
