Role Title: PMO Specialist
Reports to: PMO Head
Role Introduction: The PMO Specialist plays a vital role in supporting the PMO Head in driving project governance, reporting accuracy, and compliance across all active projects. This role ensures the integrity of project data, timely updates in PMO systems and tools, and the maintenance of high-quality project documentation to enable leadership visibility, compliance and informed decision-making.
Roles & Responsibilities:

Reporting and Data Management

Update PMO reports for senior leadership, ensuring accurate and up-to-date information is reflected across systems, trackers, and dashboards using Power BI.

Support in data analysis, visualization, and presentation of project performance insights.

Maintain consistency and integrity of data across all PMO tools and repositories.

Project Coordination and Compliance

Follow up with all project managers to ensure timely updates of project details in the relevant systems and tools.

Check project compliance in documentation and audit systems (e.g., Engagement Compliance Review – ECR).

Follow up with project managers to ensure full adherence to PMO policies and completion of project folders before ECR reviews.

Documentation and Governance

Ensure data completeness of each project folder with all required documents, adhering to the approved naming conventions.

Support in updating PMO templates, frameworks, and assets, ensuring that all latest versions are uploaded on the PMO Microsite.

Maintain internal PMO sheets and databases, including project managers’ profiles, certifications, photos, and contact details.
Candidate Requirements:
Education:
-
Bachelor’s degree in Management Information Systems (MIS), Business Administration, or Project Management.
Travel Requirement: No travel required
Experience:
Experience: Minimum of 2 years in project coordination, PMO operations, or project data/reporting management.
Required Skills:

Strong attention to detail and accuracy.

Excellent command of Microsoft Excel, including formulas, pivot tables, and data management.

Working knowledge of Power BI and ability to prepare and interpret visual reports.

Highly organized, with the ability to manage multiple and competing priorities.

Strong verbal and written communication skills.

Effective follow-up and coordination to ensure completion of assigned tasks by project managers.

Consistent in maintaining and updating systems and tools with current and accurate information.

Analytical thinking with the ability to identify trends and insights from data.
